Allica Bank, the UK's fastest-growing fintech firm, is seeking a Workplace & Office Manager to create and maintain a safe, professional, and engaging workplace environment across its UK offices. Based in London and reporting to the VP of People, this role manages day-to-day operations of the London office while overseeing workplace standards across Milton Keynes and Manchester locations. The successful candidate will ensure all offices operate efficiently, safely, and in compliance with regulatory and health & safety requirements.
Key responsibilities include leading workplace operations, managing meeting rooms, reception, visitor experience, and office logistics; coordinating office moves and workspace utilization; developing and improving workplace policies and procedures. The role involves managing relationships with landlords, managing agents, cleaning, catering, maintenance, security, and other workplace suppliers. You will coordinate planned and reactive maintenance, manage office equipment and consumables, negotiate supplier contracts, and oversee workplace budgets and expenditure reporting.
Health, safety, and compliance are critical: you will ensure adherence to Health & Safety legislation, coordinate risk assessments and statutory inspections, lead fire safety arrangements, coordinate First Aiders, and maintain compliance documentation. The role also focuses on employee experience—creating outstanding workplace conditions, coordinating onboarding for new joiners, organizing office events and engagement initiatives, and providing day-to-day workplace support.
You will maintain workplace documentation, produce reporting and management information, and identify opportunities to improve efficiency, sustainability, and employee experience across all three UK offices. The position requires five days per week in the London office with regular travel to Milton Keynes and Manchester.
Essential qualifications include proven experience in workplace, office, or facilities management; experience managing multiple office locations; strong supplier and stakeholder management skills; excellent organizational abilities; strong communication and relationship-building skills; experience managing workplace budgets; knowledge of workplace health & safety and compliance; proficiency in Microsoft Office 365; and a proactive, hands-on approach. Desirable qualifications include IOSH Working Safely or equivalent health & safety qualification, First Aid at Work certification, experience with office fit-outs or relocations, and experience in regulated or financial services environments.
