Helsing is a defence AI company on a mission to protect democracies through technological leadership. As Workplace Manager for the Barcelona office, you will own day-to-day operations and serve as the operational backbone of the local site.
Your responsibilities include:
• Vendor & Supplier Management: Coordinate and oversee all local vendors (cleaning, catering, security, maintenance), hold partners accountable to SLAs, and ensure consistent service quality.
• Facilities Operations: Manage day-to-day facility issues, troubleshoot problems, maintain safety standards, and ensure the office is functional and welcoming.
• Health, Safety & Compliance: Support Spanish occupational health and safety requirements (PRL/LPRL), coordinate risk assessments, manage emergency procedures, and liaise with local safety representatives.
• Budget Management: Track and report on the Barcelona workplace budget, process invoices, monitor spend against allocations, and flag variances to stakeholders.
• Employee Experience: Coordinate local workplace events and cultural moments (team breakfasts, socials, celebrations) in partnership with HR and local leadership.
You should have full ownership experience of a workplace or office environment, hands-on contract negotiation and administration skills, and fluency in both Spanish and English (written and verbal). Knowledge of Spanish workplace regulations is essential. You are well-organized, detail-oriented, comfortable managing competing priorities, and able to handle sensitive information with discretion while building trusted relationships.
Nice-to-have skills include professional proficiency in Catalan, an existing network of Barcelona vendors and service providers, and practical experience supporting office moves or refurbishments.
