Xero is seeking a Workplace Experience Lead for its San Mateo office, a strategic hub requiring a senior, hands-on operator to set operational standards and shape the workplace environment. This role bridges local site management with global transformation initiatives, positioning you as the primary operational contact for San Mateo leadership while contributing to Xero's shift toward an AI-native operating model. You will own day-to-day workplace operations including automating administrative workflows using AI tools, managing vendor relationships (facilities, cleaning, catering, security), and analyzing workplace metrics (occupancy, utilization, cost-per-head) to inform strategic decisions. You'll ensure ISO 27001 compliance and maintain health, safety, security, and environment standards to keep the site audit-ready. As part of a lean, globally distributed Workplace Experience team, you'll collaborate on systems and standards while testing AI tools and leveraging workplace data to shape how operations evolve across Xero's global footprint. The role combines strategic advisory work with hands-on execution: advising leadership on space design and ways of working, partnering with the People Experience team to foster culture and connection, and driving continuous improvement across regional and global workstreams. The position is hybrid, based in San Mateo with flexibility to work from home alongside dedicated in-office collaboration days. REQUIREMENTS: - Strong background in workplace or facilities management with proven ability to operate autonomously in local markets - Demonstrated experience managing vendor performance, enforcing service level agreements, and conducting structured reviews - Active hands-on experience with AI tools and workplace technology platforms (visitor management, access control, desk booking systems) - Ability to interpret workplace data and generate actionable recommendations for leadership, not just standard reporting - Commercial acumen: experience managing operational budgets, tracking actuals vs. forecasts, and building financial cases for change - Familiarity with health, safety, security, and environment standards and information security compliance frameworks (ISO 27001)
