Salary: USD 166,000 - 185,000 / annual
Notion is seeking a Workflow & Process Designer to own how their Foundations business teams design, automate, and operate critical workflows. The role focuses on redesigning end-to-end business processes—intake, triage, execution, approvals, escalations, and reporting—to scale without adding headcount while maintaining auditability and embedding AI directly into operations.
Key responsibilities include: mapping and optimizing cross-functional flows to make them simpler and faster; architecting multi-system workflows spanning Notion, Slack, email, support tooling, and internal data systems; designing for failure modes and edge cases to ensure resilience; embedding AI with clear human-in-the-loop patterns that make AI decisions transparent; building and maintaining custom agents and skills for triage, summarization, routing, and escalation; instrumenting workflows with success metrics (cycle time, deflection, quality, adoption); establishing best practices for AI safety, permissions, and transparency; and driving adoption through intuitive, reliable tooling.
You'll work as customer zero, building on Notion itself to design multi-system workflows, then shipping the custom agents and automations that power them. You'll partner closely with Finance, Legal, People, Ops, Data, and Engineering teams to drive real adoption. The role requires 2–6 years in operations design, service design, product operations, business systems, or internal tools, with demonstrated ability to design complex workflows including intake, triage, routing, approvals, and escalations. You'll need hands-on process mapping rigor (journey maps, service blueprints, SOPs), AI-native builder mindset with experience designing or building with AI assistants and agents, and comfort building lightweight automations with Notion custom agents, structured skills, and cross-system integrations. Clear communication, stakeholder judgment, and comfort with ambiguity in fast-moving environments are essential.
Consulting background in technology or process/operations consulting, track record delivering engagements across multiple functions, experience with internal tools or enterprise software, familiarity with data concepts and operational analytics, and Notion product expertise are nice-to-haves. The role is based in San Francisco or New York City with anchor days (Monday, Tuesday, Thursday) in office.
