Legora is an AI-native legal software company scaling rapidly across four continents. The company has 2,100+ customers in 80+ countries, $200M+ ARR, and teams across Europe, North America, and APAC. You will lead a distributed executive assistant team across four offices and time zones, building the systems, standards, and culture that enable world-class executive support at scale.
In this role, you will own the end-to-end EA function: establish team rhythm through regular meetings, 1:1s, and retrospectives; develop and maintain playbooks for calendar management, travel, expenses, meeting prep, and cross-team coverage; lead automation and AI initiatives to reduce manual work; coordinate global coverage across time zones; and develop each EA through clear expectations, direct feedback, and growth paths. You'll work closely with the CEO Office and Chief of Staff to hire EAs aligned with company growth, run two-week onboarding sprints for new hires, and serve as the escalation point when issues arise.
Key responsibilities include: running the team as a cohesive unit despite distributed locations; co-owning the EA operating system with the CEO Office; identifying and piloting automation tools that add real value; planning capacity and recruitment as executives join; ensuring smooth handoffs and coverage when EAs are out; and developing clear performance expectations and growth trajectories for team members.
You'll work in an ambitious, high-growth environment where mission comes before ego, excellence is non-negotiable, and direct feedback is the norm. The role offers global collaboration across EMEA, NORAM, APAC, and LATAM, meaningful work shaping how thousands of lawyers use AI daily, and an in-person environment in NYC designed for builders.
REQUIREMENTS:
- 8+ years of proven EA excellence at the C-Level, supporting CEOs and senior executives; ability to step in and support leaders directly before their EA is hired
- 2+ years developing and leading an EA team or executive-support function across multiple offices and time zones; demonstrated ability to scale teams while maintaining culture
- Systems builder's mindset: think in playbooks, rotas, and standards; ability to document and adopt processes without creating bureaucracy
- Automation-first mindset: hands-on experience using automation to reduce work; desire to lead a team in doing the same
- Leadership through visibility, clarity, and structure rather than hierarchy; ability to give direct feedback and raise standards
- Trusted and discreet: handle confidential information with complete integrity; earn trust of senior leaders quickly
- Calm under pressure in high-growth environments; ability to build structure while business continues moving; follow-through on commitments
