Reflection AI is a research lab building open foundational models to make intelligence accessible to everyone. You will join as Senior Talent Operations Specialist, owning the systems and data infrastructure behind hiring as the company grows from ~300 to 400+ people this year and beyond.
You will be the owner of Ashby (the ATS) end-to-end: configuration, permissions, access roles, reference data, templates, interview plan structure, feedback forms, and job setup standards. You'll build comprehensive reporting for multiple audiences—pipeline health, time to fill, decline analysis, competitor benchmarking, interviewer load, feedback completion rates, source effectiveness, scheduling SLAs, and proactive alerts. You'll maintain data integrity through audits, hygiene sweeps, and corrective actions.
Beyond the ATS, you'll design and deliver interviewer and hiring manager training programs, build the materials and logistics to support them, and measure completion against SLAs. You'll own the recruiting documentation system and wiki, ensuring new team members can self-serve. You'll also run candidate experience surveys and translate findings into operational improvements.
Working directly with the Recruiting Operations Manager, you'll turn structured hiring practices into working tools and measurement systems that scale with the company.
REQUIREMENTS:
- 4+ years in recruiting operations or talent systems with direct ATS ownership and reporting responsibility
- Deep, hands-on Ashby experience, ideally including implementation, migration, or major reconfiguration
- Proven ability to build dashboards used by decision-makers; strong understanding of recruiting metrics and their definitions
- Comfort with integrations and automation (Zapier, APIs, webhooks)
- Experience building and scaling interviewer, hiring manager, or recruiter enablement programs
- Ownership of systems-side tool rollouts across teams
- Strong writing and documentation skills; ability to teach others tool usage
- High agency, attention to detail, and proactive ownership of data quality
