As Special Projects Manager in the CEO Office, you will own end-to-end delivery of voize's next-generation platform launch, ensuring the new platform ships on time, customers transition safely, and all teams remain aligned. This is a high-visibility role reporting to the founders, with responsibility for orchestrating dependencies across product, engineering, go-live, customer success, sales, support, training, solution engineering, legal, and privacy.
Your core responsibilities include:
- Establishing and maintaining the project operating system: task tracking, decision logs, weekly syncs, and Friday updates that keep all teams synchronized
- Owning the integrated launch plan across all functions (product, build, go-live, pilots, commercial model, announcements, enablement, legal, privacy)
- Converting ambiguity into clarity by drafting decision briefs and escalating risks early with clear options
- Driving readiness across go-to-market teams (Sales, Customer Success, Support, Training, Solution Engineering) through playbooks, briefings, and launch runbooks
- Coordinating pilot customers and advisors with founders; planning facility rollouts to scale smoothly without founder involvement
- Once the launch is stable, taking on the next strategic special project from the CEO Office
This role demands structured thinking, exceptional stakeholder management across senior leaders without formal authority, and the ability to handle confidential information with discretion. You will work 3-4 days on-site in Berlin with flexibility for remote work across Germany, and may travel to customer facilities.
REQUIREMENTS:
- 3+ years running complex, multi-stakeholder software projects in high-standards environments (e.g., top-tier consulting, PMO, or BizOps at a scale-up)
- Proven track record owning cross-functional projects end to end
- Structured thinking and writing: ability to turn ambiguity into plans, decision briefs, and clear updates; comfortable using AI as a daily tool
- Ability to drive senior stakeholders (founders, engineers, customer decision makers) to decisions without formal authority; judgment on when to escalate
- Execution bias, low ego, and discretion
- C1+ fluency in German and English
- Based in Berlin, willing to work 3-4 days on-site and travel to customer facilities across Germany
