Mirakl is a marketplace operating system company founded in 2012, serving 450+ marketplaces globally with clients including Macy's, Decathlon, Carrefour, and Airbus Helicopters. The company operates from dual headquarters in Boston and Paris with 750+ employees across 9 offices worldwide.
You will join a 3-person Executive Assistant team led by Claire (Executive Assistant to the CEO), providing operational support to Mirakl's senior leadership, specifically the CTO and Chief Data & AI Officer. This role combines executive support, team coordination, and event management.
**Executive Support Responsibilities:**
- Manage executive business calendars proactively, anticipating conflicts and optimizing agendas with appropriate buffers
- Arrange end-to-end travel logistics (flights, hotels, ground transport, visas) well in advance
- Prepare and process executive expense reports in line with company policies
- Draft, revise, and edit LinkedIn communications for executives
- Handle sensitive and confidential information with absolute discretion
**Labs Team Support:**
- Arrange and coordinate team meetings
- Manage specific projects supporting the labs teams, including client visits to Paris HQ and team-building activities
- Aid in purchase management: raise purchase orders, track invoices, and liaise with Finance
- Coordinate with HR, Finance, and IT on operational and administrative requests (Lucca, TravelPerk, Expensya)
**Event Planning & Management:**
- Own end-to-end logistics for internal events: Labs Kick-Offs, QBRs, Mirakl Makers Club, team building activities
- Source and negotiate with venues, caterers, AV suppliers, and vendors; manage event budgets
- Manage attendee registration, invitations, RSVPs, and on-site check-in
- Coordinate speaker and VIP logistics including preparation materials and rehearsals
The team emphasizes collaboration, learning from one another, and driving efficiency improvements through AI tools. You'll work in a fast-growing, international organization with exposure to C-level operations.
**Requirements:**
- 3–5+ years of experience as an Executive Assistant, ideally in a fast-growing, international organization
- Proven track record in event planning and management, from intimate team offsites to large-scale conferences
- Hands-on experience with expense and purchase management platforms (e.g., Payflows, Expensya)
- Highly organized with ability to juggle multiple workstreams and rapidly shifting priorities
- Proactive and solutions-oriented; anticipate needs before they become problems
- Impeccable discretion when handling sensitive business and personnel information
- Genuine curiosity for AI tools and drive to leverage them in day-to-day work
- Strong collaborative mindset and team player mentality
- Fluent French (C2 level required)
- Fluent English (B2 level required)
- Proficiency with Google Suite, Slack, Confluence, TravelPerk, Expensya/Lucca, and Dust
