You will serve as the operational backbone of the Event Marketing function, reporting to the VP of Event Marketing. This is an individual contributor role with significant cross-functional influence. You will translate event strategy into clear project plans, maintain systems that keep work moving, and ensure leadership has consistent visibility into timelines, budgets, capacity, and performance.
Key responsibilities include:
**Event Marketing Operations:** Own and continuously improve operating systems for managing the Event Marketing portfolio. Translate approved event strategies into clear project plans with timelines, milestones, dependencies, and workstreams. Maintain a reliable view of upcoming events, key deadlines, team capacity, and project health. Establish clear processes and documentation for how work moves through the team. Ensure the event intake and project management environment is structured, current, and consistently used. Identify opportunities to make workflows more efficient and scalable.
**Reporting, Data & Benchmarking:** Own the Event Marketing reporting framework and ensure event performance data is consistently captured. Partner with team members to maintain clean, accurate event information in HubSpot and other systems. Maintain historical benchmarks across comparable events and use past performance to establish targets for future programs. Ensure post-event reporting is completed consistently and accurately.
**Budget Operations:** Own the process for tracking Event Marketing budgets and spend across the portfolio. Ensure projected and actual event costs are current and accurate. Regularly review event-level spend for discrepancies before information reaches leadership. Provide the VP with clear visibility into budget pacing, upcoming commitments, and areas of risk. Partner with individual event owners to maintain accurate financial information. Conduct ROI analysis to determine best rates of return on event types. Own payback period analysis to identify relevant time periods through which ROI metrics mature.
**Project & Portfolio Management:** Work closely with Event Coordinators responsible for event execution while partnering with the VP on strategy, approvals, quality standards, and prioritization. Anticipate needs before they become issues and bring structure to a fast-moving environment.
**Requirements:** The ideal candidate is a strong project manager comfortable operating across multiple events and workstreams simultaneously. You should have demonstrated experience with event operations, project management systems, budget tracking, and data analysis. Experience with HubSpot or similar CRM platforms is valuable. You must be highly organized, systems-minded, and able to translate strategy into executable plans. Strong communication skills and the ability to influence cross-functionally without direct authority are essential.
