Salary: USD 129,780 - 164,450 / annual

Reporting to the Senior Manager of the Executive Support Team, the Senior Executive Assistant will provide high-level administrative and strategic support to ensure executive(s) can operate at maximum effectiveness. This is a full-time, hybrid role requiring 3 days per week in the NYC office, with standard hours Monday through Friday, 8 a.m. to 5 p.m., plus availability outside regular working hours as needed. Key responsibilities include: - Anticipate executive needs and proactively prepare meeting materials, briefing documents, and agenda items - Monitor deadlines and follow up on action items to ensure timely completion and effective decision-making - Manage executive calendars including interview scheduling, appointment prioritization, and coordination of internal and external meetings - Act as a "barometer" for organizational issues and keep leaders informed of upcoming commitments - Optimize leader schedules to create time for strategic initiatives by managing conflicting priorities - Serve as liaison between leaders and internal/external stakeholders, handling correspondence with professionalism and confidentiality - Bridge communication between leaders and internal departments, demonstrating leadership to maintain credibility with senior management - Draft, proofread, and edit business documents including memos, reports, presentations, and emails - Arrange complex travel itineraries including flights, accommodations, ground transportation, and visas - Coordinate logistics for meetings, conferences, and events both onsite and offsite - Organize and maintain confidential and sensitive information with discretion - Conduct research, gather data, and prepare reports and presentations to support decision-making - Manage weekly expense reporting and reimbursement - Support design and execution of department All Hands meetings - Handle delegated tasks and unexpected situations with composure and resourcefulness Success in this role means executives feel consistently prepared and informed with proactively organized materials and priorities; calendars, travel, and logistics run seamlessly; stakeholders experience professional and timely communication; department forums are executed flawlessly; confidential information is handled with integrity; action items and deadlines are tracked rigorously; and unexpected challenges are managed with discretion and resourcefulness. REQUIREMENTS: - 5+ years of experience as an Executive Assistant supporting C-level executives or senior management - Required to work from NYC office 3 days per week and coordinate with in-person and remote executives and team members - Exceptional organizational skills with ability to multitask and prioritize in fast-paced environment - Practices discretion and confidentiality when handling sensitive information - Proactive mindset with ability to act with sense of urgency and anticipate needs - Strong calendar management skills to optimize schedules and create bandwidth for strategic activities - Excellent written and verbal communication skills to interact professionally with stakeholders at all levels - Proficiency in Google Suite (Docs, Sheets, Slides, Forms), database management, and online collaboration tools - Strong attention to detail and accuracy, particularly with confidential information and business documents - Ability to maintain composure and work effectively under pressure in high-stakes situations - Flexibility and adaptability to changing priorities and demands
