We seek an exceptional Senior Executive Assistant to serve as a deeply trusted strategic partner to the SVP of People and Chief Medical Officer. This role requires someone with extensive experience operating at the highest levels of executive support—this is not an entry-level position.
Key Responsibilities:
**Calendar, Priorities & Travel Management:** Own exceptionally complex, high-demand calendars balancing internal commitments, external meetings, Board touchpoints, and personal priorities across time zones. Anticipate conflicts and resolve them proactively. Develop strong judgment about how executive time should be spent and protect space for strategic work. Coordinate with internal teams and external partners on scheduling and logistics. Arrange complex domestic and international travel including flights, hotels, ground transportation, and documentation. Adapt quickly when priorities shift and solve last-minute problems independently.
**Executive Partnership:** Develop deep understanding of executive priorities, relationships, working style, and goals. Anticipate needs before being asked. Handle correspondence on behalf of the executive with accurate voice and tone. Act as trusted liaison between executive and other leaders, Board members, investors, and external partners. Prepare briefing materials, agendas, and pre-reads for key meetings. Capture decisions and action items, ensuring follow-through. Handle highly sensitive and confidential information with exceptional judgment.
**Cross-Functional Support:** Look beyond the calendar to understand what the executive and their team need. Notice gaps and take ownership without waiting to be asked. Step into ambiguous work and help move it forward. Support special projects, presentations, communications, team initiatives, and company gatherings. Connect dots across people, priorities, and information. Bring thoughtfulness to details that shape executive and employee experiences. Move fluidly between strategic work and important tactical tasks.
**Process Improvement & Automation:** Identify recurring administrative friction and eliminate or automate it. Use AI tools as a core part of drafting, summarizing, researching, preparing, organizing, and executing work. Build lightweight systems that create greater organization and capacity. Continually improve how the executive office operates.
**Requirements:**
- 10+ years of Executive Assistant experience with significant time directly supporting C-suite executives in high-growth startup or technology environments
- Demonstrated experience operating as a strategic executive partner, not solely providing administrative support
- Highly proactive with ability to anticipate needs and think several steps ahead
- Exceptional organizational skills and proven ability to manage competing priorities without losing details
- Thrives in ambiguity and doesn't need a playbook to move something forward
- Highly resourceful; instinct is to figure out unfamiliar challenges
- Executive presence and strong judgment; represents executive impeccably in every interaction
- Excellent under pressure and comfortable with frequent pivots and last-minute changes
- High emotional intelligence and discretion
- Strong written and verbal communication
- AI-native: genuinely integrated use of ChatGPT, Claude, Gemini, and emerging technologies
- Deep proficiency in Google Workspace, Slack, Zoom, and modern productivity tools
- Experience supporting Board-level engagement, investor communications, and external-facing executive functions
- West Coast availability required
**Nice to Have:**
- Experience in health tech, biotech, or mission-driven consumer companies
- Experience supporting executives through rapid organizational growth, acquisitions, or major company transitions
