8Fleet is a fast-growing, LA-based technology and logistics startup building operational infrastructure for autonomous and non-autonomous rideshare fleets. As one of the founding members of the Talent Acquisition team, you'll be the first person at 8Fleet dedicated to candidate experience. You'll own how candidates move through the hiring process, ensuring every candidate receives a thoughtful, responsive, and well-run experience from first interview to offer. Your responsibilities span three core areas: SCHEDULING AND COORDINATION: You'll manage end-to-end interview scheduling in Ashby and Google Calendar, coordinating candidates, hiring managers, and interview panels across multiple time zones. You'll handle reschedules quickly, ensure all interview logistics are correct (interviewers, links, locations, prep materials, timing), and manage candidate paperwork including NDAs and pre-interview materials. ONSITES AND CANDIDATE EXPERIENCE: You'll run onsite interviews from start to finish—prepping the day, greeting candidates, and leading office tours. You'll identify friction points in the hiring process and implement improvements. You'll run candidate experience surveys, track feedback, and turn insights into process changes. You'll maintain regular candidate communication so no one goes more than a week without hearing from the team. You'll also partner with HR and the Office Manager on onboarding initiatives to ensure new hires have a great experience from offer through day one. SYSTEMS AND TOOLS: You'll maintain Ashby hygiene by keeping candidate stages, interview records, and scorecard reminders up to date. You'll leverage AI tools like Claude, ChatGPT, and Metaview to reduce administrative work, build smarter workflows, and keep hiring teams prepared. This role is ideal for someone who is organized, detail-oriented, and passionate about making hiring feel human. You'll work closely with hiring managers daily and bring a systems mindset to how the company scales its talent acquisition function. REQUIREMENTS: - 2+ years as a recruiting coordinator in a fast-paced, high-volume environment (required) - Hands-on experience with Ashby (required) - Advanced Google Calendar skills, including multi-interviewer panels and managing multiple calendars simultaneously (required) - Comfort using AI tools like Claude and AI recruiting tools like Metaview - Experience running onsite interviews and a strong eye for improving candidate experience - Systems mindset: ability to build repeatable processes and make tools work better together - Clear, warm communication with candidates and direct follow-through with hiring teams - Discretion with confidential candidate information
