Town is an applied AI company building a persistent assistant that learns your voice, judgment, relationships, and priorities—then acts on your behalf across email, calendar, docs, Slack, CRM, and other tools without waiting to be prompted. The company recently raised $55M Series A led by Andreessen Horowitz, with participation from Forerunner Ventures and First Round Capital. Founders Jean-Denis and Tony previously led EPD at Plaid and applied AI product at Google.
You will own the office as an extension of the product and team. Your core responsibilities include:
**Interview Coordination & Hiring Operations**
- End-to-end scheduling for all interview stages (screens, panels, full onsite loops) across every open role, managing interviewer conflicts, reschedules, and time zones without losing hiring velocity
- Run onsite day-of logistics: rooms booked and named, interviewers on time, lunch staffed and ordered, candidate greeted and never left alone
- Manage candidate experience: confirmations, prep materials, day-of logistics, travel and expense coordination, warm and fast communication
- Keep Ashby (ATS) clean and current—stages, interview schedules, feedback SLAs—so pipeline reporting is trustworthy
**Office Operations & Space Management**
- Be front of house for candidates, vendors, partners, and event guests
- Own building day-to-day: visitor registrations, maintenance requests, punch-list items across office suites
- Manage office vendors (snacks, lunch, plants, IT, AV) and follow up when something isn't working
- Own supplies and equipment: ordering, reorder cadence, scheduling repairs and service
- Turn signed offers into real first days: desk, equipment, badge, welcome setup, first-week logistics
- Own ongoing office access and roster management
- Support the New York team remotely
**Process & Scaling**
- Find and fix process gaps before they break at scale (e.g., redesign scheduling and office systems before growing from 40 to 80 people)
- Self-directed: you find the work, follow up, and close the loop
The bar is simple: nothing gets dropped, and no candidate ever feels like they're the second thing on your list. This role requires being in the SF office five days a week.
**Requirements**
- Detail-oriented people person who communicates well in person and in writing
- Experience in office management, recruiting coordination, or EA/admin work at a startup
- Demonstrated ability to run complex, multi-interviewer onsite loops and hold a dozen moving pieces without dropped threads
- Fluent in an ATS (Ashby preferred) and Google Calendar, with strong data-hygiene instincts
- Ability to write clearly and warmly to candidates, and confidently to vendors and building management
- Must be in SF and willing to be in the office five days a week (in-person only)
- Self-directed with strong follow-up and closure discipline
