PSD Citywide is a leading Enterprise Asset Management and maintenance management software provider serving Local, First Nations, and Regional Governments across North America. The Proposal Coordinator plays a critical role in the business development pipeline, managing the end-to-end RFP (Request for Proposal) response process for public sector tenders. Key responsibilities include monitoring tender websites (Bids & Tenders, Biddingo, BCBid, Merx) daily for new opportunities and forwarding relevant leads to Account Managers. You will develop and maintain detailed proposal schedules, create Gantt charts, and coordinate cross-functional kickoff meetings with the Data & Analytics team, Roadmap team, and Implementation teams. The role requires updating and maintaining the RFP tracker and Salesforce with opportunities, significant dates, and supporting documents. You will draft proposal sections including introductions, overviews, project approaches, and cover letters. You'll also develop and manage libraries of past performance citations, resumes, and reusable proposal materials. Strong communication is essential—you'll coordinate with multiple internal teams to gather information, establish needs, confirm due dates, and ensure timely submission of responses. Additional duties include tracking out-of-scope tenders to identify potential new product opportunities, developing clear descriptions of PSD Citywide's products and service offerings, and ensuring consistent company branding across all proposal documents. You'll manage shared directories and processes for proposal information exchange and maintain quality standards throughout the RFP lifecycle. The ideal candidate holds a Bachelor's degree in Business Management, Political Science, or a related field, with 1–3 years of professional proposal coordination experience. Excellent writing skills, attention to detail, and proofreading ability are essential. Experience with legal and contract drafting in the public sector is highly valued, as is familiarity with project management methodologies (Initiating, Planning, Executing, Monitoring & Controlling, Closing). Deep knowledge of the Canadian public sector and prior experience working with government agencies is preferred.
