Centivo is a healthtech company on a mission to bring affordable, high-quality healthcare to millions of workers and employers. The Plan Documents Manager will lead the Plan Documents team within the Operations department, reporting to the VP Claims Operations.
This role is responsible for managing the team's workload and task assignments to ensure timely, accurate completion of Summary of Benefits and Coverage (SBC) documents, Summary Plan Descriptions (SPDs), and Statements of Benefits (SOBs). You will work cross-functionally with Configuration and Client Success teams, interacting regularly with brokers, agents, TPAs, stop-loss carriers, and clients to deliver best-in-class output and client experience.
Key responsibilities include:
- Managing team workload, task assignments, and coordination of document drafting
- Training new hires on PDM (plan document management) systems and processes
- Conducting comprehensive section-by-section reviews of plan documents including SPDs, Summary of Material Modifications (SMMs), plan amendments, and SBCs
- Drafting, finalizing, and maintaining benefit plan documents while ensuring compliance with ERISA, IRC, HIPAA, MSP, COBRA, ACA, and WHCRA requirements
- Identifying workflow process improvements and implementing policy changes
- Supporting client implementation and plan changes by defining benefit structures for document preparation
- Verifying eligibility status and requirements for plan documentation
- Submitting finalized documents to stop-loss carriers and managing document changes
- Supporting client communications and introductory calls
- Staying current on regulatory changes and providing compliance guidance to team members
- Escalating client issues to appropriate leadership
Required qualifications: 5+ years in employee benefits paralegal or similar role; 5+ years in Health and Welfare benefit consulting (ERISA and Non-ERISA plans); 5+ years in client management for self-funding document creation; Associate degree (Bachelor's preferred). Strong organizational skills, attention to detail, advanced Microsoft Office proficiency, and ability to manage multiple priorities independently.
Preferred: Experience with Phia Group's PDM portal or similar document management systems; prior lead or management experience in plan document drafting.
