Applied Intuition is a $15 billion Series A AI company (founded 2017) powering physical AI for autonomous systems across automotive, defense, trucking, construction, mining, and agriculture. As a PERM Recruitment Coordinator, you will manage the end-to-end recruitment phase of employment-based immigration cases. This is a specialized HR operations role requiring close collaboration with outside immigration counsel, hiring managers, and the Global Mobility team. Key responsibilities: - Coordinate required and supplemental recruitment activities (internal/external postings, Notice of Filing postings) within strict regulatory timeframes. - Maintain detailed case trackers covering ad run dates, posting periods, recruitment windows, prevailing wage expiration dates, and filing deadlines; flag risks proactively. - Own applicant intake through the ATS, logging every applicant and sending timely acknowledgments. - Review resumes against minimum requirements in the approved PERM job description; route qualified U.S. applicants to hiring managers and counsel; coordinate interviews and follow-up. - Document lawful, job-related reasons for each applicant outcome and prepare draft recruitment reports for counsel review. - Build and maintain complete recruitment files (tear sheets, posting screenshots, notices, resumes, correspondence) for at least five years post-filing; support audit responses on tight deadlines. - Serve as primary day-to-day contact between counsel, hiring managers, and People Ops; keep sponsored employees informed on case status. - Help update internal processes when Department of Labor rules change. The role is based in Sunnyvale, CA, with an expectation of 5 days/week in-office, though occasional flexibility is available for morning remote work or schedule adjustments. Requirements: - 1+ years of experience in immigration (paralegal, law firm, or in-house), HR operations, or recruiting coordination. - Working knowledge of PERM recruitment requirements, or strong interest in learning them quickly. - Exceptional attention to detail and ability to manage multiple cases with strict deadlines simultaneously. - Clear, professional written communication with attorneys, managers, and employees. - Sound judgment with confidential information. - Proficiency with an ATS, spreadsheets/trackers, and an HRIS (Workday a plus). Nice to have: - Experience with DOL's FLAG system, prevailing wage requests, or PERM audit responses. - Paralegal certificate or immigration-focused coursework. - Experience at a high-volume sponsoring employer.
