Salary: USD 113,000 - 140,000 / annual

Apollo is opening a new office in San Francisco and seeking an Office Manager to own day-to-day operations. Reporting to the Chief of Staff, you will ensure the office is safe, welcoming, and productive—from front-of-house hospitality to vendor coordination to onboarding logistics. Key Responsibilities: Office Operations & Vendor Management: Support day-to-day office operations ensuring safety and productivity. Collaborate with the Chief of Staff on office policies and logistics. Coordinate with building management and vendors (maintenance, cleaning, supplies). Maintain office supply inventory and oversee restocking. Report and follow up on facility maintenance issues, obtaining minimum three quotes per service per policy. Manage vendors and contractors end-to-end, scheduling work and resolving issues proactively. Workplace Experience, Onboarding & Events: Greet visitors and ensure smooth check-in reflecting Apollo's brand. Manage badge and access administration for visitors and staff. Own onsite onboarding activities in collaboration with IT and People Ops. Coordinate in-office events and team gatherings. Maintain organization and presentation of communal spaces (kitchens, conference rooms, shared desks). Health, Safety & Compliance: Assist in safety procedures and office readiness (fire drills, ergonomic checks). Ensure signage, protocols, and emergency materials are maintained. Act as point of contact during minor incidents, escalating appropriately. Work with safety and compliance stakeholders on office-related requests. Success means the office runs smoothly with proactive vendor management, welcoming new hire experiences, strong partnerships with Chief of Staff/IT/People Team, well-executed events, and consistent safety/compliance adherence. Requirements: - 3 to 5 years of experience in administrative, office management, workplace operations, hospitality, or facilities coordination roles - Experience supporting an in-office team in a startup or corporate environment - Strong organizational and time management skills; ability to juggle multiple requests - Clear, friendly communication style (written and verbal) with service-oriented, hospitality mindset - Proven ability to follow processes, manage logistical details, and own responsibilities - Working knowledge of vendor coordination, invoices, and budget review - Comfortable with Google Workspace, Slack, calendar management, and ticketing/help desk platforms - Comfortable using AI tools for productivity (drafting, summarizing) and critically assessing AI-generated content - Full-time, on-site availability in San Francisco, five days a week - Preferred: experience with Site Operations, workplace safety guidelines, office moves/space planning, and willingness to earn First Aid/CPR/OSHA certifications
