Outset is an AI-powered user research platform used by global brands like HubSpot, Microsoft, Uber, and Nestle to conduct qualitative research at scale. The company recently raised a $30M Series B in December 2025 and is experiencing rapid growth (8x business expansion). You will lead and scale Outset's global workplace operations function, owning strategy, execution, and team leadership for the company's physical office experience across San Francisco and New York. In this role, you will hire, onboard, and mentor an Office Manager based in San Francisco and build a world-class operations team. You are accountable for day-to-day office operations across both locations, including supplies inventory, maintenance scheduling, and cleanliness standards. You will manage critical vendor relationships (janitorial, IT support, maintenance, security, utilities) and negotiate contracts to optimize costs and service quality. You will oversee office equipment and technology management, including conference room setups, AV systems, WiFi, and hardware procurement. You are responsible for ensuring compliance with safety, building codes, and accessibility standards. Lease administration falls under your purview: you will handle renewals, amendments, rent escalations, landlord communications, and make strategic real estate decisions. Space utilization and optimization are key responsibilities—monitoring occupancy, identifying expansion or reduction needs, and optimizing desk and meeting room allocation. You will lead office renovations and improvements, gathering requirements, managing contractors, and ensuring on-time, on-budget delivery. Budget ownership is central: you will manage real estate budgets and capital expenditures, forecast and track spending, and identify cost savings opportunities. You will coordinate office events including all-hands meetings, team celebrations, client visits, conferences, and off-sites. You will manage meeting room scheduling systems and oversee room setups for events. You will source and manage office amenities (coffee, beverages, snacks) and wellness programs that support workplace culture. You will develop and execute long-term workplace strategy aligned with company growth and culture, and track operational metrics including occupancy, square footage costs, vendor performance, and team KPIs. This role requires 5 days onsite in San Francisco. QUALIFICATIONS: • 7+ years in workplace operations, facilities management, office management, or real estate administration, with at least 2+ years in a leadership or management role • Experience managing or supporting a growing tech company (startup or scale-up) through multiple growth phases • Proven experience managing teams and building scalable operations • Experience managing multiple office locations or scaled workplace operations across geographies • Expert vendor and contract management; comfort negotiating with landlords, service providers, and cross-functional partners • Budget ownership: experience forecasting, tracking, optimizing operational spend, and managing capital projects • Project management skills: ability to coordinate multiple initiatives (renovations, moves, events) simultaneously • Strong organizational and attention to detail; comfort with both strategic planning and tactical execution • Excellent communicator and stakeholder manager; ability to partner with leadership across departments and levels • Background in capital project management (office buildouts, renovations, fit-outs) • Familiarity with OSHA, ADA, or building code compliance • Experience with cross-functional strategic planning and organizational change management
