Symmetry Software (Gusto's payroll infrastructure subsidiary) is seeking an Executive Operations Partner to serve as the strategic right hand to the CEO and Head of Engineering. This is a senior, high-impact role at the center of how Symmetry operates, requiring an autonomous, forward-thinking leader who anticipates needs, reduces friction, and thrives in a fast-paced, high-growth environment backed by a mature, profitable business.
Symmetry Software provides payroll infrastructure and tax APIs powering paychecks for over 64 million workers annually. The company offers fully integrated payroll tax solutions and increasingly AI-driven products reshaping tax compliance infrastructure.
Day-to-day responsibilities include:
- Own calendar management and meeting rhythms for CEO and Head of Engineering; anticipate complex scheduling needs and eliminate conflicts before they form
- Partner with the Insights & Operations Partner to operationalize meeting cadences and ensure follow-through
- Embed AI-enabled systems into Symmetry's operations: use AI to draft meeting summaries, extract action items, triage inboxes, create first-draft communications and decks, and conduct research and briefing prep; build repeatable workflows, prompt libraries, and documentation that accelerate the leadership team
- Act as an extension of supported leaders: triage inboxes, prioritize responses for clients and stakeholders, and represent the CEO with external partners on priorities and availability
- Draft executive presentations, company-wide communications, and off-site materials for internal and external audiences
- Lead complex travel and events: coordinate quarterly travel for CEO and leadership team; lead onsite and event planning for team off-sites and celebrations
- Ensure seamless expense and budget processes for key executives in coordination with finance partners; establish or improve administrative systems
- Serve as a trusted thought partner, framing decisions and offering options; proactively help leaders identify risks, surface solutions, and shape workflows
- Act with delegated authority on routine decisions and requests
- Serve as a culture carrier, strengthening team identity through interactions across the organization
- Influence beyond direct leaders, anticipating needs and future risks across the business
Requirements:
- 4+ years supporting VP-level or above executives, including calendaring for multiple executives, complex travel, and event planning, or equivalent relevant experience
- Demonstrated AI fluency with systems you have built: ability to walk through specific AI workflows you designed, documented, and got others to adopt (not just tools tried); write structured prompts with real context and constraints; critically review output before it reaches executives; protect sensitive data by default
- Autonomous, strategic working style: find ways to add value without prompting; navigate ambiguity; balance tradeoffs in high-stakes projects; see around corners
- Influence across leaders and teams: build trust through clarity, follow-through, and discretion; mentor others in the craft
- Outstanding organization and judgment under pressure: detail-oriented; able to prioritize competing assignments; calm when responsibilities shift; strong common sense and bias toward "find a way"
- Strong written and spoken communication; project management from conception to completion; complete confidentiality, tact, and discretion
- Culture builder with strong instinct for bringing people together and collaborating with workplace experience teams
- Proficiency with Google Suite and AI tooling: Gmail, Calendar, Drive, Docs, Sheets, Notion, ChatGPT, Gemini, Claude, or others
