marta is a leading platform for 24-hour home care services in Germany, connecting care professionals with families. Founded in 2020, the company is profitable and well-funded by investors including Capnamic, Almaz Capital, RTL Ventures, and Swiss Health Ventures. The Berlin office has approximately 40 employees and is growing, with additional teams in Bonn, Sibiu, and Danzig. You will serve as the backbone of the Berlin office and right hand to the leadership team. Reporting to the Finance Director Simon Saager Resch and working closely with founders Philipp Buhr and Jan Hoffmann, you will manage three core areas: **Office Management:** You lead the physical office—kitchen, materials, meeting rooms, technology, and access. You set and maintain standards: ensuring the refrigerator is stocked, coffee is ready, the dishwasher is empty, and rooms are in order before the team arrives each morning. You are the primary contact for cleaning, catering, IT, landlord, and insurance vendors; you assess quality and negotiate renewals. You make purchasing decisions based on team needs, not lowest cost. You organize team lunches, celebrations, the Christmas party, and offsites. You ensure new employees have laptops, access, and onboarding plans on day one, and that departures are handled smoothly. **Contracts & Administration:** You prepare contracts, ensure they are signed, and archive them for quick retrieval. You maintain contract templates in a single, versioned location with dates, reviewed quarterly. You maintain an inventory of software tools including responsible parties, user counts, costs, contract terms, and cancellation deadlines. You cancel unused tools and renegotiate retained ones. You keep documentation current for data protection and audits, and support the accounting firm with payroll processing. **Leadership Support:** You coordinate bi-weekly all-hands meetings (agenda, slides, speaker schedule). You book travel for the leadership team proactively—monitoring calendars, booking at the best price with baggage and seat selection, and blocking travel time. You maintain awareness of leadership priorities, upcoming deadlines, and potential issues, offering proactive input. Success looks like: After 90 days, you know every vendor personally, the office has visibly higher standards, and the tool inventory is complete. After 6 months, the template library is organized, no contracts are missing from the archive, and the team is still talking about the Christmas party. After 12 months, processes are documented so thoroughly that a replacement could take over in a week, and you have taken on at least one topic beyond your core role. **Requirements:** - Experience in a role where you were responsible for deadlines, contracts, or office management (any industry; title is less important than demonstrated responsibility) - Meticulous attention to detail; you work precisely, keep commitments, and report errors before others find them - Self-motivation; you see what needs to be done and act without waiting for instructions; you can describe a topic you took on independently in your last role and completed - Good judgment; you know what is well-executed and what fits a team (spaces, events, purchases) and can explain your reasoning; you ask clarifying questions if something doesn't fit and improve next time - Fluent German (spoken and written); English sufficient for daily interaction with international colleagues - Preferred but not required: training as a legal secretary, notary secretary, tax assistant, or office management specialist; experience with contract filing, deadline management, or building template libraries; familiarity with Google Workspace, Personio, Slack, or similar tools The role requires daily in-office presence in Berlin. This is a full-time, permanent position with trust-based working hours, 27 vacation days, and access to Wellhub (Gympass) for fitness and wellness.
