Ōura is seeking an Executive Assistant to partner with the Chief Marketing Officer (CMO) and support the broader Marketing leadership team. The marketing organization at Ōura leads core marketing functions, PR/Communications, Creative, Media, and all Consumer revenue across multiple time zones. Reporting to the Chief of Staff, you will provide high-trust executive support while helping the Marketing organization stay focused, prepared, and coordinated. Key responsibilities include: • Calendar & Priority Management: Manage a complex, fast-moving calendar across internal and external commitments and global time zones. Understand business priorities, protect time for focused work, and make sound scheduling tradeoffs as priorities shift. • Forward Planning: Maintain a rolling view of the coming weeks, including key meetings, campaign and launch milestones, external engagements, deadlines, and decisions needed. Identify conflicts and dependencies early, then keep immediate logistics and follow-through precise. • Executive Preparation: Coordinate meeting logistics and create concise briefs, agendas, presentations, and other materials. Capture decisions and commitments, track follow-ups, and ensure owners and next steps are clear. • Communications & Triage: Triage incoming requests, determine what can be handled independently, draft or coordinate responses, and elevate decisions with concise context and recommended paths forward. Represent the CMO with professionalism and discretion in interactions with employees, executives, agencies, creative partners, and external stakeholders. • Operating Rhythm Support: Coordinate leadership and team meetings, planning sessions, offsites, and other gatherings. Organize agendas and pre-reads, capture actions and decisions, and maintain lightweight systems that make priorities, owners, and deadlines visible. • Cross-Functional Coordination: Drive Marketing team efficiency by balancing strategic initiatives with day-to-day operational support. Connect cross-functional partners, clear project blockers, and align the team on key campaign, event, and launch milestones—from core workflows to planning and executing major team offsites. • Travel & Logistics: Arrange domestic and international travel, accommodations, ground transportation, itineraries, and expense reporting. Anticipate changes and communicate updates quickly. • Process Improvement: Build trusted relationships, learn working preferences, clarify expectations, and establish repeatable communication and planning practices. Partner with the Administration team and suggest practical improvements as needs evolve. • Confidentiality: Handle confidential business, people, and marketing information with sound judgment and a high degree of discretion. Requirements: • 8+ years of experience providing executive-level support to a C-suite or senior executive, ideally in a fast-paced, high-growth environment • Experience supporting a Marketing, Brand, Communications, or other externally facing leader is a plus • Exceptionally organized and precise, with a track record of managing complex calendars, travel, meetings, expenses, and competing priorities • Proactive and forward-looking; identify and anticipate what is coming, notice missing context or potential conflicts, and prepare early while staying responsive to immediate needs • Create clarity when priorities or requests are ambiguous; ask focused questions, confirm decisions and deadlines, communicate tradeoffs early, and use good judgment • Clear, direct, and diplomatic communication in writing and conversation; ability to synthesize information, keep stakeholders informed, and handle sensitive conversations with tact • Build strong working relationships through trust, discretion, emotional intelligence, and reliable follow-through; confident engaging with people at every level, including senior leaders and external partners • Calm and adaptable when plans change; able to prioritize independently while escalating the right issues at the right time • Enjoy making teams more effective through lightweight processes, clear ownership, and thoughtful coordination • Comfortable using Google Workspace, AI tools, and emerging technologies to streamline daily operations and improve efficiency • Willing and able to travel occasionally, domestically and internationally, to support executive meetings, team events, and offsites
