Salary: USD 127,000 - 269,000 / annual
Figma is seeking an Executive Assistant to provide high-level administrative and strategic support to the VP of Growth Marketing and the Director, B2B - Growth, Strategy, & Ops. You will serve as a trusted operational partner to the Growth Marketing leadership team, managing complex calendars and inboxes, coordinating leadership meetings, tracking action items, organizing team communications and events, and handling travel and expense approvals.
Key responsibilities include:
- Provide direct support to the VP and Director through calendar management, inbox management, meeting coordination, action item tracking, and travel booking
- Act as delegate for the VP and Director, signing off on expenses, PO approvals, and tooling access with attention to internal policy
- Serve as a strategic partner focused on team cohesion, operations, and planning
- Identify opportunities to optimize leadership time and recommend improvements to time management and prioritization
- Identify and drive process optimization across team and company processes
- Prepare and build content, presentations, and key documents using Figma tools
- Partner with the CMO's EA to organize large-scale planning for monthly and quarterly meetings, in-person leadership and full-team off-sites, including external venue coordination
- Collaborate cross-functionally with Marketing and other internal teams to ensure alignment on projects, company milestones, and internal events
You will be based in the San Francisco office with a requirement to be in-office 2 days per week and flexible to travel at least once per quarter.
Requirements:
- 7+ years of experience in an Executive Assistant support role
- Demonstrated ability to work in a fast-paced environment and adapt quickly to changing demands
- Proficient communication skills with ability to engage a wide range of internal and external stakeholders while maintaining strict confidentiality
- Skilled at shifting priorities based on inbound requests and workload volume
- Ability to be in SF office 2 days per week; flexible to travel at least once per quarter
