Figma is seeking an experienced Executive Assistant to support the Chief People Officer and VP of Talent. This role strategically manages the day-to-day administrative and operational needs of the People organization while contributing to company-wide initiatives and priorities.
You will be responsible for keeping leaders and teams organized and aligned, enabling them to maintain focus while scaling for growth. Key responsibilities include managing calendars, travel, meetings, and agendas for executives; serving as a strategic thought partner on team cohesion, operations, and planning; identifying opportunities to optimize executive time and recommend improvements to time management and prioritization; partnering cross-functionally with the People Team and other internal teams on projects, company milestones, and internal events; delegating on behalf of executives by signing off on expenses, approving purchase orders, and managing internal tools; finding process optimization opportunities across team and company workflows; and preparing content, presentations, and key documents for leadership.
The ideal candidate has 7+ years of experience in senior administrative support roles, preferably at VP or C-Suite level. You should thrive in fast-paced environments with the ability to adapt quickly to changing demands. Excellent communication skills and the ability to connect with diverse stakeholders—both internally and externally, in person and online—are essential. You must be able to shift priorities based on volume and urgency while anticipating needs and connecting dots across competing demands. Proven discretion and sound judgment in sensitive situations is critical. Experience with People or Talent Teams is a bonus. This is a full-time, in-office role based in Figma's San Francisco hub.
