Salary: USD 104,400 - 172,300 / annual
ServiceNow is seeking an Executive Assistant to support a Vice President within the Builder Community, Developer Relations, and Developer Marketing organization. This is an operational leadership role that goes beyond traditional calendar management—you'll serve as a key operational partner helping the VP and leadership team execute effectively in a fast-paced environment.
Key responsibilities include:
**Leadership Operations & Business Rhythm**: Coordinate recurring leadership meetings and operating cadences, prepare agendas and pre-reads, capture decisions and action items, maintain planning calendars across annual/quarterly/monthly/weekly rhythms, and ensure priorities and dependencies remain visible.
**Business Reviews & Goal Management**: Support planning and tracking of organizational goals, coordinate reporting cycles and business reviews, consolidate updates and risks across teams, maintain reporting materials, and assist with quarterly planning and retrospectives.
**Work Intake & Organizational Coordination**: Manage incoming requests and leadership priorities, maintain visibility into active projects and timelines, identify scheduling conflicts and resource constraints, and prepare organizational summaries for leadership review.
**Communications & Team Engagement**: Coordinate team communications and leadership messaging, support town halls and engagement initiatives, organize recognition programs, and foster connection across distributed teams.
**Executive Support**: Manage complex calendars, prepare briefing materials and meeting backgrounds, track commitments and follow-ups, draft communications, and ensure leaders are prepared for key meetings.
**Planning, Operations & Administration**: Maintain integrated planning calendars across business milestones and events, support onboarding and hiring processes, coordinate travel and expenses, and identify opportunities for process automation.
**Requirements**:
- 3 to 5 years of experience supporting VP-level executives
- Experience leveraging or critically thinking about how to integrate AI into work processes, decision-making, or problem-solving (using AI-powered tools, automating workflows, analyzing AI-driven insights, or exploring AI's potential impact)
- Highly organized with exceptional communication skills and ability to manage multiple high-priority projects
- Desire to grow and take on own projects
- Professional demeanor and strong soft skills
- Positive, personable can-do attitude
- Proficient in Zoom, Microsoft Office (Word, Excel, PowerPoint, Outlook), Box, Concur, and Google Docs
- Experience handling confidential materials
- Ability to travel 10-15% (Vegas, Santa Clara, San Diego)
