Salary: USD 104,400 - 172,300 / annual

ServiceNow is seeking an Executive Assistant to support a VP-level leader and enable the leadership team's operating system. This role goes beyond calendar management to create structure, maintain visibility, close loops, and ensure priorities and decisions translate into action. Key Responsibilities: Leadership Operating Rhythm: Enable and coordinate the leadership team's operating cadence, including building agendas, gathering updates and pre-reads, capturing decisions and owners, tracking actions between meetings, and maintaining a predictable annual, quarterly, monthly, and weekly leadership calendar. OKR and Business Review Coordination: Facilitate OKR creation and refinement, connect team goals to organizational priorities, cascade goals across the organization, establish update cadences, collect progress and risks, coordinate quarterly reviews and retrospectives, and maintain reporting tools. Work Intake and Organizational Visibility: Maintain systems (Loop, Planner, Teams, shared workspaces) to track what everyone is working on, coordinate intake for new requests, ensure work has clear owners and priorities, keep information current, prepare workload and priority views, and identify capacity issues. Team Communications and Culture: Keep the team connected and informed through town hall coordination, team engagement activities, recurring team rituals, volunteer coordination, leadership updates, and ensuring remote employees have connection opportunities. This is operational work that helps the team feel informed, recognized, and connected. Additional Support Areas: Calendar and attention management to protect time for strategic work; executive preparation including assembling meeting objectives, background materials, and drafting follow-up communications; stakeholder relationship management; planning calendar and milestone management; hiring, onboarding, and team transitions support; budget, purchasing, travel, and administration coordination; and process improvement and automation to identify repetitive work and simplify workflows. Requirements: - 3 to 5 years of experience supporting VP-level executives - Experience leveraging or critically thinking about how to integrate AI into work processes, decision-making, or problem-solving (using AI-powered tools, automating workflows, analyzing AI-driven insights, or exploring AI's potential impact) - Highly organized with exceptional communication skills and ability to manage high-priority projects from multiple management levels - Desire to grow and take on own projects - Professional demeanor and soft skills; positive, personable can-do attitude - Proficient in Zoom, Microsoft Office suites (Word, Excel, PowerPoint, Outlook), Box, Concur, and Google Docs - Experience handling confidential materials - Ability to travel 10-15% (Vegas, Santa Clara, San Diego)
