Salary: USD 175,000 - 200,000 / annual
Mill is a waste prevention technology company transforming food scraps into valuable resources through smart systems for homes, businesses, and municipalities. The company operates residential food recyclers and is launching Mill Commercial, an end-to-end solution for managing and preventing food waste in commercial environments like grocery stores, restaurants, and food services.
You will serve as an Executive Assistant supporting two senior leaders: the Chief Communications Officer (who also heads People) and the GM of Consumer/GTM (spanning Marketing, Creative, and Sales Enablement). You are one of three executive assistants on the team; the other two support the founders directly, so understanding "founder-ready" standards is essential.
This is a multi-faceted role requiring you to move fluidly between communications strategy, people operations questions, and go-to-market support, while maintaining aligned calendars and locked schedules. The pace is fast and ambiguity is constant. You will read rooms quickly, draft sharp communications swiftly, and stay composed when multiple urgent priorities land simultaneously.
Key responsibilities include:
**Executive Support & Founder Coordination:**
- Manage complex, fast-moving calendars, proactively resolving conflicts and protecting time for strategic priorities
- Draft, edit, and proofread executive-level communications (emails, memos, board materials, talking points) with precision and appropriate tone
- Exercise independent judgment on urgency, escalation, and what requires immediate attention
- Build effective working relationships with direct reports across Communications/Public Affairs, People, and GTM teams
**Confidentiality & Information Management:**
- Handle high volumes of sensitive material with absolute discretion, including HR matters (compensation, performance, org changes), confidential communications strategy, business performance, budgets, and founder-level strategy
- Maintain clear information boundaries between workstreams and confidential HR matters
- Recognize when information exceeds your access level and route accordingly without prompting
- Assess administrative items from adjacent functions and flag what needs executive attention
**Operational Excellence:**
- Own fundamentals flawlessly: travel, expenses, meeting logistics, briefing prep, follow-up tracking
- Anticipate needs before they're voiced; close loops independently
- Coordinate seamlessly with other executive assistants and external stakeholders (board members, investors, partners)
- Leverage AI tools (Claude, scheduling assistants, transcription tools) for recurring work while knowing when human judgment is required
**Culture & Team Health:**
- Serve as an informal pulse-check on team morale and dynamics, noticing unspoken tensions
- Flag friction points early and help executives read the room
- Build trusted relationships across the organization
**Requirements:**
- 7+ years supporting senior executives, ideally C-suite, in fast-moving or high-growth environments, with exposure to HR/personnel-sensitive material
- Excellent written communication skills—clear, tight, executive-ready
- Sound judgment and composure operating in ambiguity, under pressure, and with sensitive confidences
- Strong instinct for people and relationships; genuine ease coordinating with other admins and calibrating to founder-ready standards
- Fluent and resourceful with AI tools that support leaders
- Collaborative mindset; cross-admin relationships are critical to success
