GumGum is an advertising technology company powered by the Mindset Graph™, an AI-driven data engine that matches brands with audiences in the right mindset. The company operates across 19+ markets globally and is seeking an exceptionally sharp, proactive Executive Assistant to serve as a critical force multiplier for the CEO and CRO. This role goes beyond traditional scheduling to encompass strategic and comprehensive support across the office of the CEO and CRO. You will manage high-volume executive calendars, prioritizing requests and resolving conflicts to align daily operations with leadership priorities. You'll drive executive preparedness by briefing leadership on upcoming commitments, assigning and tracking project deliverables across teams, and ensuring seamless follow-through. Key responsibilities include cultivating stakeholder and board relations, serving as primary liaison to the Board of Directors, and managing logistics for board meetings and executive offsites. You'll act as a strategic gatekeeper and trusted point of contact for time-sensitive matters, ensuring seamless communication across all department heads and external partners. You will own executive assets and reporting—maintaining instant recall of pitch decks, designing complex reports, and creating compelling presentations. The role requires managing complex operations including detailed domestic and international travel coordination, expense report processing, and stakeholder database management. Additional responsibilities include designing agendas for executive and company-wide calls, capturing key action items, and distributing actionable meeting minutes. You'll coordinate executive team retreats, champion culture-boosting milestones, and handle select personal tasks to maximize leadership bandwidth. The ideal candidate is a fast learner who thinks strategically, operates autonomously, and balances razor-sharp execution with high emotional intelligence and total discretion. Advanced proficiency in Google Suite and MS Office (Word, Excel, PowerPoint) is essential, along with the ability to quickly master new digital productivity tools. You must demonstrate autonomous problem-solving, managing high-volume projects independently with minimal oversight, and exceptional attention to detail.
