Banyan Software, a portfolio company operator and acquirer of specialized software businesses founded in 2016 and headquartered in Atlanta, seeks an Executive Assistant to the Chief Operating Officer. This role blends traditional executive support with elements of a chief-of-staff function, serving as a trusted strategic partner to the COO whose portfolio spans People, Legal, Corporate IT, Communications, Centers of Excellence, and the Banyan Software Foundation.
Key responsibilities include developing working knowledge of the COO's priorities and leadership team OKRs, then using that context to prioritize inbound requests and sequence the COO's time toward high-impact work. The role drives cross-functional coordination across People, Legal, IT, Communications, and other functions, identifying overlapping workstreams and connecting leaders to keep initiatives moving. You will maintain current visibility of progress against OKRs and key initiatives, prepare monthly and quarterly reviews, and flag at-risk goals early.
Calendar management is sophisticated and proactive: anticipate needs, resolve conflicts independently, ensure strategic time allocation, prepare the COO with relevant context and materials, and support on-time meeting execution. You will coordinate logistics, agendas, materials, and communications for key corporate meetings including Board of Directors meetings, quarterly business reviews, senior leadership meetings, and leadership offsites.
Additional duties include tracking and following up on action items to ensure cross-functional accountability, anticipating critical deadlines and milestones, collecting and preparing information for discussions and presentations, drafting and managing confidential communications, and applying AI tools to recurring work—inbox triage, meeting preparation, briefing materials, dashboards, and note synthesis—while building repeatable workflows and exercising clear judgment around data sensitivity.
The ideal candidate brings experience supporting C-suite executives, strong organizational and communication skills, business acumen, and comfort with modern tools including AI. This is a high-visibility role requiring discretion, proactive problem-solving, and the ability to operate effectively across a complex, fast-moving portfolio.
