Echodyne is seeking an Executive Administrative Assistant to provide high-level strategic and administrative support to Vice Presidents and leadership teams within Research, Development, and Product divisions. The role manages executive priorities, optimizes calendars, coordinates meetings and communications, supports department operations, and drives follow-through on key initiatives. Key responsibilities include: providing comprehensive support to multiple Vice Presidents; managing complex calendars while balancing competing priorities and protecting focus time; owning recurring executive operating rhythms such as one-on-ones, staff meetings, quarterly business reviews, and planning cadences; preparing agendas, presentations, briefing materials, and confidential correspondence; tracking action items and decisions through completion; coordinating complex domestic and international travel, itineraries, and expense reports; and prioritizing competing requests with appropriate escalation. The role also coordinates cross-functional meetings across Research, Development, and Product; supports quarterly and annual planning activities, leadership off-sites, workshops, customer visits, and team events; develops and maintains dashboards, trackers, and organizational documentation; coordinates vendor paperwork, NDAs, purchase requests, invoices, and contracts; and identifies process improvements. Additional responsibilities include serving as a trusted liaison between executives and internal/external stakeholders; handling confidential employee, business, engineering, product development, customer, and intellectual property information with discretion; processing expense reports, purchase orders, and invoices; and maintaining visibility into departmental discretionary spending. The position reports to Human Resources for performance management and administrative oversight, while day-to-day priorities are directed by supported Vice Presidents. The ideal candidate is proactive, highly organized, adaptable, exercises exceptional judgment, and thrives in a fast-paced technology environment.
