Exotec, a French industrial robotics unicorn, is seeking an Employee Experience & Facilities Specialist to lead workplace operations and employee engagement for its APAC headquarters in Tokyo. This is a hybrid operations and people-focused role that bridges employee experience initiatives with day-to-day facilities management. In the Employee Experience domain, you will execute local engagement initiatives including coordinating events, wellness programs, surveys, and culture activities. You'll serve as the APAC liaison to the global Employee Experience team, support DEI efforts, and assist with employee onboarding and lifecycle support. On the Facilities & Operations side, you will manage vendors end-to-end (RFP through contract execution and performance monitoring), oversee office supplies and services, coordinate office projects and relocations, track budgets with Finance, and monitor vendor SLAs to drive continuous improvement. You'll maintain a professional, welcoming workplace environment. You will also serve as a visible onsite presence—greeting employees, visitors, customers, and leaders; supporting internal communications; and creating a strong first impression of Exotec's APAC operations. This is a full-time, onsite role requiring 5 days per week in Tokyo with regular visits to the Shinkiba demo center. Requirements: - Vendor management experience - Invoice management and Finance coordination experience - Employee communications experience - Event coordination experience - Strong organization and prioritization skills - Ability to independently solve problems and drive improvements - Strong customer service and hospitality mindset - Comfortable interacting with all organizational levels - Cross-cultural awareness and ability to work in multinational environments - Native Japanese and Business English proficiency - Full-time onsite availability in Tokyo (5 days/week) Nice-to-have: Employee Experience background, HR onboarding experience, workplace/facilities management experience, multinational or European organization experience, DEI initiative exposure, Health & Safety partnership experience, employee benefits/perks program management.
