Yubico, a publicly traded leader in identity security and creator of the YubiKey hardware-backed passkey, is seeking a Creative Operations Manager to serve as the operational backbone of the Design & Brand team. This role is responsible for building and optimizing the systems, workflows, and processes that enable the creative team to move with clarity, focus, and predictability across global campaigns, events, web, product marketing, sales enablement, localization, and video initiatives.
The Creative Operations Manager will own the creative intake and prioritization process, serving as the central gatekeeper who ensures briefs are complete, actionable, and aligned to business priorities before work begins. You will guide stakeholders toward appropriate processes, clarify ambiguous requests, identify missing information, and prevent unnecessary churn before it reaches the Design & Brand team.
You will build, optimize, and design operational systems using tools such as Asana, Jira, or similar platforms. This includes creating and maintaining workflows, routing rules, dashboards, reporting structures, automations, and cross-functional visibility systems that reduce manual effort and improve accountability.
Leading project planning and pipeline management is a core responsibility. You will maintain clear visibility of active, upcoming, and at-risk work across the Design & Brand team, translate business priorities into realistic project plans, track timelines and dependencies, identify bottlenecks early, and ensure stakeholders understand tradeoffs when priorities shift.
Capacity planning and resource allocation are critical functions. You will partner with Design leadership to balance team capacity across multiple initiatives, assess workload, forecast resourcing needs, coordinate internal and external support, and ensure the team is not overcommitted.
This is not a passive project coordination role. The right person is a systems builder, strategic gatekeeper, and trusted cross-functional partner who isn't afraid to step in and help when needed. You will protect creative focus through clear process, act as a diplomatic but firm process partner, manage expectations, address scope creep, navigate rush requests, and help uphold service-level agreements and prioritization rules. You will partner closely with Design & Brand leadership, Marketing, Web, Product Marketing, Events, Sales, regional teams, vendors, and agency partners.
