HarmonyCares is a leading national value-based provider of in-home primary care services for people with complex healthcare needs. Headquartered in Troy, Michigan, the company operates home-based primary care practices across 14 states and employs 200+ primary care providers delivering patient-centered care under an integrated, team-based, physician-driven model. The Chief of Staff Associate will provide hands-on executive support to the CEO and executive leadership team. This role combines traditional executive operations with modern technology and automation to enhance how the CEO's office functions. The position is proactive in anticipating executive needs, managing competing priorities, and ensuring the executive office runs efficiently while overseeing daily operations, coordinating meetings, managing visitors and vendors, and maintaining office supplies. Key responsibilities include: - Managing calendars, priorities, travel, and communications for the executive team - Ensuring smooth executive office operations through meeting coordination, office management, follow-up, and logistics - Preparing agendas, presentations, briefing materials, summaries, and executive communications - Coordinating key priorities and cross-functional work to keep commitments and decisions moving forward - Researching business topics and translating information into clear, actionable insights and recommendations - Developing dashboards, trackers, and reporting systems that provide visibility into key priorities - Leveraging AI, automation, and technology to improve productivity, simplify administrative work, and strengthen information organization and management - Continuously identifying better ways to support the CEO, improve processes, and increase executive office effectiveness - Anticipating needs, solving problems, and serving as a trusted partner to leadership The role involves working with executive leadership, senior leadership, internal teams, visitors, guests, and external vendors. QUALIFICATIONS: Required: Bachelor's degree in business administration or related field; 3+ years of experience in executive support, executive partnership, office operations, or similar role; highly organized and detail-oriented with ability to manage multiple priorities in fast-paced environment; curious and resourceful with interest in understanding business operations; comfortable working through ambiguity, changing priorities, and unexpected needs; confident using technology, AI, automation, and new productivity tools; strong written and verbal communication skills; sound judgment and discretion with ability to handle confidential information; strong accountability and follow-through with proactive problem-solving approach; comfortable working with senior executives, board members, employees, and external partners; flexible, dependable, and willing to step in wherever needed. Preferred: Advanced degree in business administration or related field.
