Viktor is an AI teammate product that lives in Slack and Microsoft Teams, connecting to thousands of tools and automating work across finance, marketing, ops, and engineering. The company is at a fast-growth stage and is hiring rapidly.
In this role, you own the candidate experience end-to-end. You will schedule interviews and onsite final rounds for multiple candidates simultaneously, managing calendars, time zones, travel logistics, and candidate records. You keep every candidate informed about next steps and timelines, chase interviewers for feedback to unblock stalled processes, and run post-interview feedback surveys to identify and fix recurring issues.
You report to Kacper Zambrzycki, who leads talent. Recruiters and hiring managers make hiring decisions; your job is to remove avoidable delays and friction from the process. The core challenge is managing last-minute changes, conflicting calendars, and busy interviewers who need persistent follow-up, while maintaining accuracy and warmth with candidates.
Success looks like: hiring managers no longer chasing you for status; candidate feedback flowing in with recurring problems getting fixed; every active candidate having a clear next step and owner; visibility into where candidates are waiting.
You will work in a small team with high trust and low process. Decisions are made by owners, not committees. You will ship your first week and talk to users your first day. The company does not do alignment meetings or stakeholder syncs—it builds, tests, and iterates.
The role offers top-of-the-market salary and genuine ownership. As you demonstrate impact, your scope can grow into broader recruiting operations. This is a rare window where everyone owns something real that customers depend on.
REQUIREMENTS:
- You anticipate what people need and handle problems with care.
- You keep details accurate while coordinating multiple people and close loops without being chased.
- You write clear, warm English and follow up with busy people directly and tactfully.
- You know what needs attention first and when to escalate instead of sending another reminder.
- You handle personal information with discretion.
- Recruiting experience is not required; evidence from work, study, or volunteering counts. Executive assistants, office managers, and people from sales or hospitality often succeed in this role.
- Preferred: prior recruiting experience and familiarity with applicant tracking systems such as Ashby.
