DELFI Diagnostics is seeking an Accounting Operations Manager to lead end-to-end financial operations and accounting processes as the company scales. This role owns the procure-to-pay cycle, accounts receivable, expense management, and general accounting functions, with significant responsibility for NetSuite system administration and financial controls.
Key responsibilities include:
**Procure-to-Pay (P2P):** Full ownership of requisition through payment, including PO issuance, invoice matching, and vendor management. Design and implement scalable procurement processes, recommend automation solutions, and manage vendor onboarding (W-9/W-8 collection, master data integrity). Conduct monthly AP close activities including accruals and aging reviews. Coordinate with R&D teams on order volumes, set reorder points, and negotiate vendor pricing on high-spend items.
**Accounts Receivable:** Reconcile AR monthly with external vendors and internal teams, generate invoices via NetSuite, and ensure timely write-off recording.
**Expense & Credit Card Management:** Oversee employee onboarding/offboarding for corporate cards, approve expenses timely, and provide spend analysis to FP&A. Negotiate better pricing on high-spend categories.
**General Accounting:** Review monthly financials for accuracy, prepare journal entries and reconciliations, identify accounting risks, and support monthly financial reporting with flux explanations.
**NetSuite & Systems:** Serve as primary finance administrator—manage user access, roles, permissions, workflow configuration, custom fields, and reporting. Own NetSuite vendor relationships for system changes, upgrades, and automation. Manage integrations with expense management, procurement, banking, and lab systems.
**Policy & Controls:** Maintain corporate approval matrix and expense reimbursement policy. Design segregation-of-duties controls appropriate for pre-IPO/pre-commercial stage, supporting SOX readiness and external audit compliance. Document SOPs and process flows.
**Cross-Functional Leadership:** Partner with lab operations, R&D, and other teams to support financial planning and operational efficiency.
The role requires strong technical accounting knowledge, NetSuite proficiency, and the ability to build scalable processes and controls as DELFI prepares for future growth and regulatory scrutiny. Hybrid arrangement: 1–2 in-office days per week for those within 50 miles of Palo Alto.
