Verto Education is reimagining higher education by enabling students to begin their academic journey overseas before transferring to one of 70+ partner universities in the United States. The Academic Operations Manager is a hands-on individual contributor who keeps Verto's academic operations running smoothly across global study centers, reporting to the Associate Director of Academic Operations.
You will manage the Academic Affairs HQ team's cyclical and one-off projects end-to-end using Asana, collaborating with leadership on department-level project management and translating academic needs into technology requirements. This role bridges on-site academic operations and US-based leadership, requiring comfort working across multiple time zones and stakeholder groups.
Key responsibilities include:
**Academic Project & Operations Management:** Manage AAHQ projects end-to-end, coordinate the academic-operations calendar and cross-functional handoffs, maintain resources and templates for recurring processes (Add/Drop week, Course & Faculty Evaluations, Onboarding), author and maintain standard operating procedures, and bridge academic operations between on-site and HQ teams.
**Academic Technology:** Scope and document business requirements for academic-technology projects; serve as a power user of schedule management tools, Canvas (LMS), Dropout Detective, and Qwickly; monitor systems for functionality and recommend improvements; serve as account administrator for externally contracted tools with deep understanding of data privacy and FERPA compliance.
**Data Analytics & Reporting:** Build and maintain academic reports and dashboards from Salesforce, Canvas, and Google products; ensure data accuracy and consistency; develop actionable insights and decision-ready summaries in various formats (Slack updates to board presentations); support standard and ad-hoc reporting requests.
**Operations Support and Training:** Partner with on-site Academic Operations Specialists to monitor technology use and provide escalation support; monitor resolution of support tickets and turn recurring issues into systemic fixes; support global operations during peak periods; lead credentialing, onboarding, and offboarding processes for faculty and academic systems; plan and coordinate AAHQ team offsites; identify technology and AI-based solutions to address bottlenecks; facilitate process retrospectives.
The role operates on a hybrid schedule: approximately 3 days per week on-site at the Prague study center (local hours, e.g., 09:00–17:30) focused on study center operations, and 2 days per week remote (later start/finish, e.g., 11:00–19:30 local time) providing overlap with US Eastern Time for HQ collaboration. The exact split depends on employment location and academic calendar needs. Occasional travel may be required to support other study centers during peak periods or attend team offsites.
