ElevenLabs is seeking a Workplace Operations Manager to lead and anchor the Warsaw office, serving as the primary point of contact for the rapidly growing Poland team and the broader AI community hub. This is a full-time, in-office role (5 days/week) reporting to the operations leadership.
You will own the day-to-day logistics and culture of the Warsaw workspace, including managing post, communal areas, meeting room readiness, and vendor coordination (cleaners, catering, maintenance). You'll be responsible for welcoming new joiners, staff, guests, and candidates, ensuring everyone feels at home from day one. The role involves driving office culture through thoughtful selections of snacks and coffee, organizing team lunches and celebrations, and establishing social rituals that make the space a place people love to work.
Key responsibilities include supporting on-site events such as AI hackathons and evening meetups, providing warm and professional welcome experiences for external guests and partners, and managing the logistics of the office launch in a new building in central Warsaw. You'll communicate effectively with senior executives, legal partners, vendors, and office guests, maintaining a professional and welcoming environment.
The ideal candidate has strong operational expertise in managing high-visibility office environments and thrives in fast-paced, high-pressure settings. You should have proven experience coordinating with building management, vendors, and overseeing office maintenance and supplies. A proactive, forward-thinking approach is essential—you'll anticipate needs, identify inefficiencies, and implement new processes to improve workflow. Experience fostering positive office environments, planning office-wide events, and negotiating vendor contracts for quality and cost-effectiveness is required.
