Cartesia is a venture-backed AI company founded by Stanford PhD researchers pioneering State Space Models and efficient foundation model architectures. The company is backed by Index Ventures, Lightspeed, and others, with offices in San Francisco, London, and Bangalore.
You'll own all aspects of workplace operations and culture at a fast-growing AI startup. This is a high-trust, high-agency role reporting to leadership with significant autonomy and impact.
Key responsibilities include:
- Internal Events & Culture: Plan and execute team events from small gatherings to large fireside chats, owning the full experience end-to-end.
- Founder Support: Provide light administrative support including calendar management, travel coordination, and ad hoc requests with speed and discretion.
- Day-to-Day Operations: Manage office supplies, vendor relationships, and facilities to ensure smooth operations.
- Vendor & Budget Management: Track spending, negotiate contracts, identify cost-saving opportunities, and manage vendor relationships.
- Onboarding: Ensure new hires have desks, equipment, and access ready on day one.
- Office Search & Buildout: Lead site selection, tours, lease negotiation, design, and move logistics for Cartesia's next headquarters—your biggest project next year.
- International Expansion: Stand up new office hubs globally, managing space, local vendors, and employee experience in each location.
You should have 2–5 years of experience in office management, workplace coordination, recruiting coordination, or executive/administrative support at a fast-moving tech or startup company. Vendor and facilities management experience is essential. You're comfortable with budget tracking, cost analysis, and providing discretionary support to senior leadership. You thrive in ambiguous environments, building processes from scratch while executing. You genuinely care about creating better spaces and experiences, taking pride in details others miss. You're excited about people and culture, not just logistics.
Nice-to-haves include experience at a rapidly scaling company, having been a first office manager building the function from scratch, leading office searches or relocations, or standing up offices in new cities or countries.
