Reflection AI is seeking a Workplace Experience Manager to establish and operate their new Washington D.C. office. This is a hands-on, high-ownership role responsible for all day-to-day office operations including facilities management, vendor coordination, equipment provisioning, and workplace compliance. Key responsibilities include owning facilities and supplies management, serving as the primary contact for building management and external vendors, ensuring the office remains clean and fully functional, coordinating repairs and workspace improvements, and partnering with People Ops and IT to support seamless employee onboarding. You'll manage meeting room scheduling, coordinate in-office catering and team events, and maintain health and safety compliance documentation. The ideal candidate has proven experience in office management or workplace operations, preferably in a startup or high-growth environment. You should demonstrate strong organizational skills, resourcefulness in building scalable systems and processes, and experience managing vendors, facilities, and office budgets. The role requires clear communication across teams and levels, a high-ownership mindset that anticipates problems before they surface, and reliable attention to detail with good judgment about when to escalate issues.
