Salary: EUR 2,000 - 2,250 / monthly
Wolt is seeking an experienced Workplace Coordinator to join its Real Estate & Facilities team in Tallinn, Estonia. Reporting to the Regional Workplace Lead for North, you will be the primary point of contact for all workplace operations within Estonia, managing the day-to-day functionality, comfort, safety, sustainability, and efficiency of Wolt's offices.
You will serve as the Directly Responsible Individual for landlord, vendor, and local stakeholder relationships. Key responsibilities include managing vendors and implementing workplace policies and procedures; leading workplace programs such as food & beverages, lockers, mail services, space planning, reception experience, and workplace technology; managing site-specific projects to improve the workplace through playbooks and operational guidelines; and streamlining office accessibility through automation and self-service innovations.
You will promote employee satisfaction by responding promptly to occupant concerns, managing environmental health and safety programs, and ensuring consistent service quality from team members and vendors. Working alongside local and global stakeholders, you will develop a detailed understanding of Wolt's business needs and deliver workplace strategies that support them. Additional responsibilities include coordinating vendor activities, financials, and staffing; owning the country facilities operating budget; establishing vendor KPIs and contract management processes; liaising with stakeholders during office expansions; managing space planning and move coordination; planning and executing team onsite events; and collaborating with global teams to roll out policies and initiatives company-wide.
Requirements:
- Experience in Office, Workplace, or Facilities Management in a global organization within a fast-paced, high-growth environment
- Strong and passionate customer focus
- Proven vendor management experience
- Event management experience (bonus)
- Ability to take ownership and solve problems independently and proactively
- Excellent written and verbal communication skills in English
- Ability to work autonomously in a fast-moving environment with strong relationship building and stakeholder management skills
- Growth mindset to consistently learn and develop skills
- Willingness to participate in First Aider and Fire Warden Training and provide emergency assistance
- Comfortable collaborating remotely using digital tools such as GSuite, Slack, and Zoom
