Salary: CAD 80,000 - 95,000 / annual
Shakepay is a Canadian fintech company on a mission to usher in the Bitcoin golden age by reimagining financial services. Founded in 2015, the company has grown to serve over 1.5 million Canadians with products including the Shakepay Card, direct deposit, bill payments, and Interac e-Transfer. Backed by $44M in venture funding and regulated as an investment dealer across all Canadian provinces and territories, Shakepay is building a modern financial services platform centered on Bitcoin.
You will serve as Workplace and Executive Coordinator, managing operations and providing recurring executive and administrative support. This full-time, Montreal-based role combines workplace operations with executive coordination, working closely with the CEO, CTO, and the senior leader responsible for People and Executive Operations.
Key responsibilities include:
- Coordinate Montreal workplace operations: office readiness, supplies, deliveries, access, vendors, and facilities follow-up
- Support workplace-related coordination across the company as priorities evolve
- Assist the CEO and CTO with recruiting coordination and occasional onboarding logistics, in partnership with Recruiting and People teams
- Support recurring executive and workplace processes, including operational communications and mail logistics
- Coordinate executive and company events, including offsites, holiday events, meeting logistics, and operational communications
- Maintain organized trackers, documentation, and recurring processes
- Build strong working relationships across the company and follow through on details with limited supervision
- Gradually expand into broader executive assistant responsibilities as trust and familiarity develop
As you build company context and develop trust, your scope will expand to include broader executive-support responsibilities. The role offers the opportunity to work in a fast-moving, high-growth fintech environment with exposure to senior leadership and company-wide operations.
Requirements:
- Experience in executive support, workplace coordination, office administration, or similar operations role
- Demonstrated ability to handle confidential information and build trust through consistent judgment and follow-through
- Experience supporting calendars, scheduling, and travel coordination
- Strong organizational skills, follow-through, and attention to detail
- Strong written and verbal communication skills
- Good judgment, professionalism, and discretion when handling sensitive or time-sensitive tasks
- Comfort working in Google Workspace, Slack, and related coordination tools
- Ability to manage recurring responsibilities independently in a fast-moving environment
- Working proficiency in French and English (fluency in English required)

- Experience supporting a startup or high-growth team
- Experience with workplace operations, office logistics, or vendor coordination
- Experience supporting executive recruiting or onboarding logistics
- Experience maintaining trackers, documentation, or lightweight operational systems
- Comfort using AI tools to streamline recurring workflows, draft communications, and support day-to-day administrative work, with sound judgment around confidentiality and accuracy
