The Workforce Planning Coordinator role sits within Operations Planning and owns the end-to-end scheduling and staffing operations for assigned clinic locations. This is a detail-oriented, deadline-driven position that directly impacts clinic throughput and operational efficiency.
Key responsibilities include:
• Own bi-weekly and monthly rota creation and publication for all assigned Swedish clinics, managing late changes, swaps, and backfills without service disruption.
• Establish daily tracking of open shifts and coverage gaps, with escalation protocols to bank pools and agency partners triggered before gaps affect clinic throughput.
• Administer Quinyx workforce management system (locations, roles, templates, policies, leave rules) for assigned clinics and configure at least one automation that measurably reduces manual administrative time.
• Deliver a reliable weekly staffing pack including coverage percentage, overtime, additional hours, tardiness, utilization, and variance vs. plan for clinic and market leadership decision-making.
• Reduce payroll queries and adjustments through cleaner timesheet reconciliation and consistent HRIS-to-payroll data flow.
The role partners directly with clinic leads on coverage, staffing metrics, and labour planning. Success is measured by on-time rota publication, accurate scheduling, proactive gap management, and reliable reporting that enables leadership to make fast, informed staffing decisions.
REQUIREMENTS:
Minimum qualifications:
- Experience in scheduling/rota coordination, clinic operations, or workforce administration
- Comfortable in Excel: filters, lookups, pivot basics, conditional formatting; able to analyse CSVs and spot anomalies
- Hands-on experience with a WFMS/scheduling system (e.g. Quinyx, Deputy, UKG, Rotageek) or strong, demonstrable appetite to learn one fast
- Excellent written and verbal communication skills in English
- Demonstrated ownership of detail-heavy, deadline-driven admin work
Preferred qualifications:
- Multi-site healthcare or shift-based operations background
- Direct Quinyx experience specifically
- Prior exposure to payroll reconciliation or HRIS-to-payroll data flows
