Neko Health is a preventative healthcare company that combines proprietary technology with clinical care to deliver personalized health insights in a single, non-invasive visit. The Workforce Planner role sits within Operations Planning and is responsible for keeping Swedish clinics staffed to target coverage levels. In this role, you will own bi-weekly and monthly rota creation for assigned Swedish clinics, maintaining accurate schedules in the workforce management system (Quinyx) and producing staffing reports that enable clinic and market leadership to make fast, informed decisions. You'll work directly with clinic leads on coverage, staffing, and labour metrics. Key responsibilities include: publishing accurate, on-time rotas for all assigned clinics while managing late changes, swaps, and backfills without service disruption; establishing daily tracking of open shifts and coverage gaps with escalation protocols to bank pools and agency partners; administering Quinyx (locations, roles, templates, policies, leave rules) and configuring automations that reduce manual admin time; delivering a reliable weekly staffing pack covering metrics like coverage %, overtime, additional hours, tardiness, utilisation, and variance vs plan; and reducing payroll queries through cleaner timesheet reconciliation and consistent HRIS-to-payroll data flow. You should have experience in scheduling/rota coordination, clinic operations, or workforce administration. Excel proficiency is essential (filters, lookups, pivot basics, conditional formatting). Hands-on experience with a workforce management system like Quinyx, Deputy, UKG, or Rotageek is required, or a strong demonstrated appetite to learn one quickly. Excellent written and verbal communication skills in English are necessary, along with demonstrated ownership of detail-heavy, deadline-driven administrative work. Preferred qualifications include multi-site healthcare or shift-based operations background, direct Quinyx experience, and prior exposure to payroll reconciliation or HRIS-to-payroll data flows.
