Heidi Health is a fast-growing healthtech company building AI-powered clinical tools that have processed 73 million patient visits in 18 months and now support 2.5 million patient sessions weekly across 190+ countries. This newly created Vendor Management Lead role sits under the Head of IT and works closely with Finance to establish comprehensive oversight of third-party software spend as the company scales from startup to scale-up phase. The role owns the complete vendor management lifecycle: building and maintaining a live register of material agreements with renewal notice periods and lead times; negotiating directly with vendor deal desks using clear walk-away positions; monitoring consumption and seat utilization to flag overage exposure early; implementing spend controls across material vendors to limit over-consumption risk; identifying duplicate tools, unused licenses, and utilization gaps for rationalization; building the software budget line-by-line and tracking actuals against forecast; setting up payment controls including cards, invoice details, and billing entities; and developing procurement policy including approval thresholds and delegation of authority. The successful candidate will have proven experience in software procurement or IT sourcing within fast-growing SaaS/tech businesses, with a track record of negotiating enterprise software agreements directly with vendor deal desks. Strong commercial acumen is essential—comfort reading contracts, understanding usage-based pricing models, and spotting risk in consumption data. You'll need solid financial literacy to build budgets, track actuals, and report variance to finance audiences. Experience building and maintaining software/vendor registers at scale (dozens of active agreements), designing or improving procurement policy, and working cross-functionally between IT, Finance, and business teams without formal authority is required. This is a build-from-scratch role requiring bias for action and comfort creating process and structure where none exists. Bonus experience includes vendor security/risk review processes, SaaS/cloud cost optimization, or LLM/model vendor commercial arrangements.
