Exotec designs and manufactures end-to-end warehouse robotics solutions for global enterprises. As Senior Payroll Specialist for North America, you will own payroll operations across the US and Canada, ensuring accuracy, compliance, and continuous improvement. Key responsibilities include: **Payroll Administration & Process Excellence** Own end-to-end payroll operations for US and Canada, serving as the North American payroll subject matter expert. Review, validate, and reconcile payroll data prior to each cycle. Investigate discrepancies, identify root causes, and implement corrective actions. Establish payroll controls, audits, and quality checks to prevent errors. Partner with payroll providers, Finance, and stakeholders to resolve complex issues. Drive continuous improvement to reduce manual work and optimize processes. Support year-end activities, audits, and compliance reporting. **HR Operations & Employee Lifecycle** Own day-to-day HR operations across North America. Manage employee records and documentation throughout onboarding, employment changes, leaves of absence, and offboarding. Ensure accuracy and confidentiality of employee data. Maintain and improve HR workflows and documentation. Act as trusted resource for employees and managers on HR policies and procedures. **Benefits Administration** Administer employee benefits programs including enrollments, changes, terminations, and communications. Manage vendor relationships and serve as primary contact for escalations. Support benefits audits, reporting, and compliance. Lead initiatives to improve benefits processes and employee wellbeing. **Compliance & Risk Management** Ensure compliance with federal, state, provincial, and local employment and payroll regulations. Support leave administration and accommodation requests. Prepare and maintain required employment documentation and regulatory filings. Conduct regular audits of payroll and HR data. **Employee Relations & Manager Support** Provide guidance to managers and employees on HR policies and workplace concerns. Support employee relations matters and investigations. Partner with managers on performance management and workplace issues. Foster positive, compliant work environment. **Projects & Continuous Improvement** Lead cross-functional projects related to payroll optimization, HR operations, and systems enhancements. Identify opportunities to improve efficiency and scalability. Collaborate with global HR and Finance teams. Develop payroll and HR metrics and KPIs. **Requirements** - 5+ years hands-on experience managing US payroll operations - Deep expertise in multi-state US payroll processing and compliance - Proven experience owning payroll from input validation through post-payroll reconciliation - Strong knowledge of payroll taxes, wage and hour regulations, garnishments, and payroll audits - Experience working directly within payroll systems and identifying system-related issues - Demonstrated success improving payroll processes, reducing manual activities, and increasing accuracy - Exceptional attention to detail and passion for finding and fixing issues before they affect employees - Strong analytical and problem-solving skills for investigating complex payroll discrepancies **Preferred** - Experience supporting Canadian payroll - Experience in fast-growing international company - Experience with payroll system implementations, integrations, or optimization projects
