Okta is seeking a strategic, highly proactive Senior Executive Assistant to serve as the operational right hand to the Chief Product Officer. This role is central to optimizing executive bandwidth, driving team cadence, and managing complex logistics across the global product organization.
Key responsibilities include managing a multi-time-zone calendar (PST through EST) while protecting critical deep-work time for product strategy. You will triage and evaluate all incoming speaking invitations (keynotes, industry panels, podcasts, town halls), coordinate presentation prep and travel logistics, and serve as a strategic filter for communications using automation and smart workflows.
You will own end-to-end execution of monthly product leadership meetings, including agenda setting, content consolidation, tech logistics, and action-item tracking. You will also lead planning and execution for company/leadership onsites, regional team gatherings, executive retreats, and product summits, as well as coordinate high-value customer briefings, Customer Advisory Board sessions, and enterprise escalations.
The role emphasizes AI-driven efficiency: you will use generative AI tools (ChatGPT, Claude, Gemini, Copilot) to draft and refine internal communications, meeting summaries, briefing documents, and initial email responses. You will proactively identify repetitive workflows and implement automation to increase operational speed. You will also organize seamless domestic and international travel for multi-city hub visits and handle sensitive information regarding product roadmaps, organizational updates, and acquisitions with complete confidentiality.
Based in one of Okta's core regional hubs (SF, Seattle, Chicago, NYC, or Toronto), you will work in a hybrid capacity with flexibility across these locations.
