Salary: USD 70,304 - 89,535.3 / annual
WelbeHealth operates a PACE (Program of All-Inclusive Care for the Elderly) program that delivers comprehensive medical, dental, physical therapy, and community-based services to seniors, enabling them to remain in their homes and communities.
The Scheduling Supervisor serves as the scheduling subject matter expert, working cross-functionally with interdisciplinary care teams, providers, and leadership to ensure accurate scheduling workflows and exceptional customer service.
Key responsibilities include:
- Provide operational oversight and ensure timely, accurate scheduling of participant appointments in alignment with WelbeHealth's scheduling protocols
- Troubleshoot complex or urgent scheduling issues and resolve escalations promptly, serving as the point of contact for escalated inquiries with internal staff, external entities, and participants
- Ensure quality assurance by reviewing and auditing scheduling data for accuracy, completeness, and compliance
- Participate in administrative and compliance tasks to ensure scheduling operations comply with policies, procedures, and regulatory requirements
- Directly supervise and support Scheduling Specialists and Onsite Specialty Scheduler, providing coaching, mentorship, and daily oversight of scheduling activities and workflows
- Monitor team productivity, accuracy, and adherence to scheduling policies and performance standards
- Reinforce WelbeHealth's commitment to exceptional customer service through professional, timely, and empathetic communication with participants, families, providers, and team members
Required qualifications:
- High school diploma or equivalency (associate or bachelor's degree in healthcare administration or operations management preferred)
- Minimum 2 years of experience in healthcare scheduling or operations
- Minimum 2 years of supervisory experience with demonstrated ability to mentor and develop team members (preferred)
- Minimum 1 year of experience with Electronic Medical Records (EMR) and scheduling/communication platforms
- Experience leading in a data-driven organization, leveraging reports and data to prioritize and manage people and projects
- Strong leadership skills with proven ability to coach, motivate, and develop high-performing teams
