As RFP & Project Specialist for the Institutional Advisory team, you'll own the complete lifecycle of client proposals and project coordination. The Institutional Advisory team serves nonprofits, foundations, and endowments—and every new relationship begins with a proposal process. Key responsibilities include: - Drafting, refining, and submitting RFPs, RFIs, and custom proposals for institutional prospects - Partnering with advisors and subject matter experts to translate complex wealth management concepts into clear, persuasive content - Building and maintaining project trackers across concurrent sales pursuits and client implementations, identifying risks early - Serving as the primary coordination point across sales, advisory, and implementation teams to keep all stakeholders aligned - Leveraging AI tools alongside existing content libraries to accelerate drafting and content organization while maintaining accuracy You'll be the connective tissue between sales, advisory, and implementation, freeing the team to spend more time with clients and less on administrative work. Ideal candidates have 3-5 years in proposal writing, sales operations, project management, or advisory support. You'll need exceptional written and verbal communication, sharp attention to detail, and proven ability to manage multiple concurrent projects with high autonomy. Comfort with Google Suite and Notion is essential; hands-on experience with AI tools is a plus. Bonus qualifications include background in institutional, technical, or academic writing; degree in English, Communications, or Marketing; exposure to financial services or wealth management concepts; or prior experience supporting RFP processes in regulated industries.
