Prime Intellect is building the open superintelligence stack—infrastructure for frontier AI labs, made available to every ambitious AI team. The platform unifies compute, environments, evaluations, secure sandboxes, high-performance training, and deployment for post-training at frontier scale. The company has raised $150M from Founders Fund, Radical Ventures, NVIDIA, and leaders from Ramp, Perplexity, Harvey, Cognition, OpenAI, Databricks, and others. The team is ~60 people, split between San Francisco and remote staff, and hiring quickly.
As People Operations Coordinator, you will own the employee lifecycle from interview scheduling through a new hire's first weeks. You will design every new hire's first day and run onboarding end to end, coordinate recruiting logistics across multiple open searches, and help bring the team together in person. You will also improve how this function works—making it faster, more reliable, and more personal—including identifying where AI tools and automation can handle repetitive work so you can focus on high-touch, human-centered tasks.
Key responsibilities include:
**Onboarding & Employee Experience:** Design first-day schedules and experiences for new hires with a white-glove approach for executives. Set up desks and equipment before day one (laptop, monitor, welcome kit). Coordinate finance onboarding (payroll, benefits, expense tools, company card) and office access (door entry, meal program). Complete required onboarding accurately and on time (background checks, I-9 verification, employee records, HRIS setup). Identify immigration and visa needs early, route them to the right people, and track to resolution. Maintain and continuously improve the onboarding system. Support offboarding: recover equipment and remove access.
**Recruiting Coordination:** Own interview scheduling across multiple open roles so candidates and interviewers show up informed and on time. Book travel and host candidates for onsite interviews and work trials, creating a warm candidate experience. Keep candidates and hiring teams informed with timely, clear communication. Maintain Ashby as the single source of truth for stage updates, candidate notes, and pipeline hygiene. Own scheduling timelines and SLAs, surface risks early, and keep recruiters and hiring managers in the loop.
**Systems, Culture & Team Operations:** Find smarter, faster ways to run this function, including automating repetitive work with AI tools. Track open hiring and onboarding tasks and follow through on every commitment. Contribute to an in-person culture that builds connection across in-office and remote teams. Help plan and run team onsites and offsites, including attendee logistics and travel. Take on recruiting operations and sourcing projects as the function grows.
Success means new hires feel expected and cared for before day one. Laptops arrive on time, accounts work, schedules are clear, and first-week travel is arranged. Compliance steps are complete and accurate without chasing. Recruiting, IT, managers, and office teams know what they own. Trackers, checklists, and communications stay current as hiring volume grows.
**Requirements:**
- 2+ years in recruiting coordination, people operations, HR, or similar high-volume coordination role
- Proactive coordination: juggle many starts, owners, and deadlines without losing details; follow up before anyone has to ask
- Real care for employee and candidate experience—warm welcome built from thoughtful communication and reliable execution
- Comfort managing background checks, I-9 verification, employee records, and HRIS setup; handle sensitive information with discretion, including for senior and executive candidates
- Cross-functional follow-through: make ownership clear and stay with issues until resolved
- Process improvement instinct: spot recurring gaps in checklists, handoffs, or messages and fix them
- Highly skilled in Google Calendar, Slack, and Notion; demonstrated ability to handle high-volume work efficiently
- AI-native work style: use LLMs and automation to take repetitive work off your plate
- Low ego, high ownership—willing to improve workflows and track down delayed items
- Able to work in person in San Francisco office
**Bonus:**
- Experience with Ashby or another modern applicant tracking system
- Experience running onboarding at a fast-growing startup
- Experience coordinating immigration or visa processes with outside counsel
