Observable Space is a vertically integrated space technology company building precision optics platforms for Earth observation and in-space applications. The company serves NASA, JPL, SpaceX, Boeing, RTX, the US Space Force, and leading research institutions. They combine precision opto-mechanical hardware, embedded compute, cloud orchestration, and developer APIs into scalable products with in-house manufacturing. The Operations Coordinator will join the Business Operations function to build structure and ownership around critical business processes. The role centers on contract administration: owning end-to-end coordination of agreements from receipt through execution, including routing for review and signature, tracking status and key dates, maintaining accurate records, and escalating issues appropriately. You'll prepare and format contracts, maintain a central contract tracker, review agreements against templates, flag deviations, and maintain an organized repository of executed agreements. Beyond contracts, you'll support process and documentation across the company. This includes maintaining operational trackers so leadership has current visibility, organizing documentation, preparing materials for the COO and VP of Operations, tracking action items, and identifying opportunities to improve recurring administrative processes. You'll also coordinate vendor onboarding, manage compliance documentation and certifications, track renewal deadlines, and support cross-functional coordination between Operations, Finance, and other teams. The ideal candidate has 3+ years in business administration, contract administration, executive support, or similar coordination roles, with exposure to contracts or vendor management. You're exceptionally detail-oriented, naturally organized, and disciplined about keeping processes current without prompting. You manage multiple open items without dropping anything, communicate proactively, and follow up reliably. You're comfortable in ambiguity, use good judgment about when to escalate, and are proficient with DocuSign, Adobe Acrobat, Google Workspace, and Microsoft Office. You're resourceful, figure things out when processes aren't established, and are trustworthy with sensitive information. You're excited to grow the role's scope as the company scales rather than needing everything defined upfront.
