HumanSignal is a human data partner for companies building AI models and products. The company specializes in real-world data creation, annotation, and delivery through its enterprise platform Label Studio and professional services. This Operations Administrator role is based on-site in Columbus, Ohio, where HumanSignal operates a data lab that processes approximately 1,000 participants monthly.
You will serve as the operational backbone of the Columbus facility, managing both the physical space and administrative functions that keep the organization running smoothly. Your responsibilities span facilities management, vendor coordination, scheduling operations, and executive support.
Facilities & Vendor Management: You'll source, vet, and coordinate vendors and contractors for repairs, maintenance, and facility staging. This includes managing pricing, scheduling work, and directing on-site activities. You'll proactively monitor building condition to address maintenance issues before they escalate.
Operations & Scheduling: You'll manage scheduling and coordination for high volumes of on-site participants (up to ~1,000 monthly), including grouping participants and staffing to ensure full coverage. You'll build and improve workflows and automations to streamline daily operations and scheduling. You'll also handle client invoicing.
Executive & Team Support: You'll provide calendar management, scheduling, and event planning support to the executive team. You'll serve as a catch-all for administrative needs across the organization, identifying gaps and solving problems independently. You'll provide occasional light marketing support.
The ideal candidate is highly organized and resourceful with strong ownership of physical spaces. You're tech-savvy enough to quickly adopt new tools; workflow and automation experience is valued but not required. You're a proactive problem-solver comfortable juggling competing priorities.
